A successful hire starts with a detailed match between the traveller, the equipment, the accommodation and the local terrain.
Describe the traveller’s needs accurately
Tell the provider the user’s height and weight, transfer ability, posture and expected daily use. Explain whether the equipment is for indoor use, long promenade journeys, hills, uneven surfaces or a combination. Mention any pressure-care, control, seating or limb-support requirements. The cheapest model is poor value if it cannot be used safely or comfortably.
Check the specification
For a scooter or powerchair, confirm overall dimensions, safe user weight, range guidance, turning circle, ground clearance, maximum recommended gradient, charging method and whether it dismantles. Ask for the weight of the heaviest component if anyone will lift it.
For manual wheelchairs, check seat width and depth, arm and footrest style, total weight, folding method and whether transit or self-propelled wheels are required. For shower chairs and commodes, confirm seat width, aperture, arm arrangement, brakes, footrests and safe working load.
For a mobile hoist, request the safe working load, spreader-bar and sling type, under-bed clearance needed, leg width and turning space. A sling is personal equipment: ask how the correct size and design will be selected and who is responsible for assessing safe use.
Match the accommodation
Compare equipment measurements with the narrowest doorway, lift, bedroom and bathroom route. Check where the item can be stored and charged. Ask the hotel whether mobility equipment is permitted in rooms and whether fire-safety rules restrict charging in corridors or communal areas.
Large scooters may not fit in lifts or shuttle vehicles. Hoists may not pass under divan beds. Shower chairs may be too wide for a bathroom entrance even when the shower itself is step-free. Measurements prevent expensive surprises.
Delivery and collection
Agree the delivery address, date, time window and named recipient. If delivery is to a hotel, confirm whether reception will accept the item before the guest arrives and where it will be kept. Ask whether the provider demonstrates the controls, brakes, folding or charging procedure and supplies written instructions.
Record the collection arrangements, particularly for early departures. Confirm whether the item may be left with reception and what happens if the flight or accommodation changes.
Charging, range and daily use
Ask the provider how and where to charge powered equipment and how long a normal charge takes. Range figures are estimates affected by user weight, gradients, temperature, battery condition and frequent stopping. Plan conservatively and never rely on the advertised maximum for an essential journey.
Breakdowns and damage
Obtain an in-resort support number and opening hours. Ask the expected response when equipment becomes unusable, whether a replacement is available and what geographical area is covered. Understand which damage is included, what the user must pay and whether loss, theft, punctures or water damage are treated differently.
Price, deposit and cancellation
Request an itemised written quote showing hire period, delivery, collection, optional accessories, deposit, taxes and any late or location charges. Check how and when a deposit is returned. Read cancellation terms for illness, travel disruption and accommodation changes, and consider suitable travel insurance.
Before accepting delivery
- Confirm the model and specification match the written order.
- Photograph existing marks or damage.
- Test brakes, controls, charger and adjustment mechanisms.
- Make sure the user and companion understand safe operation.
- Save the provider’s support and collection details offline.
- Report any mismatch immediately rather than attempting an unsafe workaround.
